I listened to a great webinar today hosted by Gail Dody with Design Success University presented by Amy Porterfield. The subject was marketing with Facebook. Amy is a very engaging down to earth speaker. Visit her on Facebook and like her page, you're sure to get lots of great marketing tips from her.

She also mentioned that she was one of three authors that wrote the book "Facebook Marketing All-in-One for Dummies." You Won't Believe What Your Mobile Phone Can Do Now!

Have you seen these funny looking squares that resemble a computer chip and wondered what the heck? You've probably noticed them on printed materials you're receiving in the mail. They're showing up everywhere! Or, you might have even noticed them on a few business cards. Keep reading to see how to begin using those funny looking squares today.

First, let me explain how and why these codes are used. They are called QR Codes (Quick Response) and they are able to be read with an app in mobile phones such as iPhone, Android and Blackberry. These unique scanner apps read the QR Code and instantly displays any type of information from the vendor's website, a shopping cart page, or contact details.

You can even generate your own QR Code to add to your marketing materials. We're in the process of adding QR Codes to our business cards, brochures, flyers . . . well you get the picture. You can generate a different QR Code that is specific to each marketing piece. For instance, your brochure QR Code might take a person directly to the homepage of your website. A QR Code on a flyer might take your client to a specific page on your website. A QR Code on your business card could give them your contact details. In this world of technology, it's all about giving our clients the information they want RIGHT NOW!

Below is example of a QR Code online generator that can create a QR Code for your business card by using the Create a meCard option. If you want to create a QR Code to direct someone to your website you would simply click on the drop down menu and select Bookmark a website. There are several QR Code generators available on the web. We selected Qrafter, anyone can visit this website and generate QR Codes for free, however, their current mobile phone app is only for iOS devices which are the iPhone and iPad. I also like Mobiletag and their app is for Andriod, Blackerry and iPhone users. Download an app for your phone today; be prepared to take interesting journeys with your phone.

Paying and Reimbursing Yourself in QuickBooks

How to decide to pay and reimburse yourself can be a difficult question, especially when you first open your business. Almost all new businesses have to re-invest most of their profit back into the business. Think about how much it would cost to replace yourself doing the tasks you do. If you hired someone to do your job, what is the going rate in your area? That is the minimum base rate you should choose to pay yourself. Some business owners pay themselves based on a percentage of the job, sometimes that is easier in the beginning when cash flow is tight.

After deciding how much, let's look at how to enter that in your QuickBooks company file. You will want to discuss this with your accountant of course, as everyone's entity and personal situation will vary. If you create payroll for employees, you can make yourself an "Employee" and pay yourself, letting payroll taxes accrue as you go along. This is how I have paid myself for years. Pay as you go and even it all up at the end of the year on your tax returns.

You need two accounts in your Chart of Accounts to show money drawn and money invested. Depending on your entity type there will be different account names for each entity. Essentially, whether it is a Partner Draw or an Owners Draw, the name is different but the concept is the same. Your company has money, it isn't taxed yet, and you want to put it in your pocket. That's OK, it's your money.

Below are three examples of Chart of Accounts's set up as three different entity types, notice how they have similar names for the money drawn and money invested equity accounts?

What your accountant and the government care about is that when you take or put money into your company, you record that information correctly. Show how much you take and how much you put in, so the accountant can arrange it all on your tax return at the end of the year and assess the proper payroll and income taxes on it.

If you don't create payroll you can write yourself a "Draw" check, remember to use the equity account in your Chart of Accounts that is for draws, don't get hung up on the difference in names in the different types of entities. Here is an example of a check written to the owner of the company for $1000.00 as a salary.

The other thing you need to account for is business expenses that you make with personal funds or credit cards. Very, very important to keep track of these. You can do them as you go but most people let them pile up in a file and reimburse these expenses periodically. This money that you "invest" in your company is money you can take out of your company with no payroll or income taxes assessed; it is money the government has already taxed. Let's look at two ways to get that expense posted in QuickBooks and/or pay yourself back.

If you want to pay yourself back just write yourself, a check and use the appropriate expense account. If you used your personal credit card to buy some paper at Office Max, below is a check showing how to pay yourself back.

Now here is the really cool trick, how to enter the expense and NOT pay yourself back right now. We are going to create a "Zero Sum Transaction in a Clearing Account." Won't you look smart at your next tax appointment throwing that fancy phrase out on the desk? It's very easy!

Create a new bank account called "Clearing Account" (List > Chart of Accounts > right-click, select "New" > Type, Bank > Save & Close.
Now create a check and make sure you choose the "Clearing Account this time, the example below shows the same copy paper expense, but it makes an expense number for Office Supplies and an Investment entry for the amount invested.
Notice there are two entries on the expense tab. The second entry uses the Owner's Capital: Investments account and the exact same amount in negative format was entered.

You can stack numerous transactions on the same check here. Simply list all of the transactions with explanations and make just one entry with the negative number for the investment, like this...

Use your phone to accept a credit card payment from your client

Do you accept credit card payments from your clients? If not, now might be a great time to seriously consider it, if you have an iPhone, iPad, Android or Blackberry phone. I have read about Intuit's GoPayment device with interest for sometime, but decided I didn't want to pay for the reader or additional monthly fee.

Recently, I was on the phone with Intuit and the person mentioned GoPayment and how Intuit had made big changes in regards to GoPayment. They are now offering a TOTALLY FREE reader to everyone with a low swipe rate of 1.6%. The GoPayment App to install on your device is also free. All business owners that accept credit cards know if you can actually swipe the client's credit card the discount rate is much lower. All the sudden, I began to sit up and listen with great interest. Immediately, I was sold. Of course, I confirmed this offer didn't have any hidden charges and I quizzed him over all the terms and conditions. There is no contract, you can cancel at anytime and it is extremely easy to sign up as new merchant with Intuit. I think he told me the monthly fee is $11.99 per month.

I had to share some exciting news from Citrix with all of you that have an iPad or that are thinking about getting an iPad. I attended a webinar yesterday via my iPad ~ WOW! All I did was click on the webinar link in my email and I instantly began to connect. I wasn't even prompted to enter my name and email, my iPad did that automatically. The audio and video worked perfectly with no lag time. Love the ability to zoom by tapping and pinching. I connected to the webinar via our office WiFi; using a 3G connection will use too much of your 3G plan. Just one more reason to think about getting an iPad.

Have you ever checked your internet speed? Occasionally, everyone should check their internet speed to confirm they're actually getting the speed they're paying for. There are several speed tests that will clock your download & upload speed. The download speed will be the most important test, since 95% of the time you're surfing the internet, viewing videos or downloading files and images. You would only use the upload speed when you're uploading a file to a forum or sending an email with an attachment.

Do you have to wait several seconds for a website to load or 15 - 30 minutes to download a software program like Studio? If so, you're experiencing a slower internet connection. The normal time to download our Studio software should be 2 - 7 minutes. More than likely your IP (internet provider) offers multiple speed levels of course a higher price tag comes with the higher speed. Contact your IP and find out if you're actually receiving the speed you're paying for. If you're paying for the lowest speed you might consider increasing your speed to the next level. In this day and time none of us like to wait. We all want instant results. Today, so much of our design research is done on the internet; business owners need a fast connection to reduce wait times. DSL connections are typically a little slower than cable speeds. Mobile Broadbands or Aircards are slower than DSL with speeds ranging from 1 - 3 Mbps. Hardwiring your computer to your router will increase your internet speed. The further away your laptop is from your router the slower the connection. When possible, try to download large files and watch videos when you're hardwired.

Four Great Ways to Use Twitter for Your Design Business

Have you signed up for an account with Twitter? If not, you should sign now and secure your company name and your personal name. I know what you're thinking, I don't care what people are eating for dinner or when they are going to sleep. And you're right most people don't care about that type of chatter. Twitter is much more than when people are eating or when they are sleeping. I use Twitter for multiple reasons and I keep finding more ways all the time.
My top four reasons to use Twitter:

Search a topic: Twitter is a great vehicle to search a what people are saying on a specific topic or product. Almost EVERY business has a Twitter handle. (That's definitely a reason you should sign up for a Twitter account today, if you haven't already.)
Your website: For those of you that have new and updated website, you can add your Twitter feed on the homepage of your website. Your homepage will always feel fresh and up to date. You never know when a visitor might see a Tweet that peaks their interest. It might prompt them to pick up the phone an make an appointment. Best of all Tweeting is free! Your clients will begin to know, like and trust you through Tweeting. See screenshot of our new Minutes Matter website. Casey is working hard again!
What's happening at a conference? Hashtags are another great way to use Twitter. Attending a seminar, market, convention or trade show? Search to see if the event has created a hashtag. Using a hashtag is totally different than following someone on Twitter. Here's how they work. Say that you were attending an event and the event promoted the hashtag #hpfall (High Point Fall Market) every Tweet that includes #hpfall will be organized and listed into that specific search. Say you're at a conference and the presenter has some great tips or inspiring ideas; you could Tweet what you think; don't forget to include the hashtag. Everyone that searches the hashtag can see all those Tweets. When lots of people are Tweeting during a conference using the same hashtag, people that aren't able to attend the conference could get a glimpse of what's happening at the conference and what they are missing. Vendor Help! Tweet a question to a vendor, post a concern (be nice), or better yet give a testimonial. Recently, I was having trouble with my Comcast Business internet. I Tweeted: "@comcast My internet has been intermittent for two weeks. Hard to do business!" A tech had already come and gone trying to correct the issue, but couldn't find the problem. After my Tweet, I received a reply within 30 minutes, asking me to email them with more details. I emailed them the details, my area Comcast supervisor called me personally and dispatched three techs to come out the next day. I now have the supervisor's cell phone number. Love that! I am happy to report my internet issues seems to be a thing of the past. Of course, I also Tweeted about their great customer service.

My Dogs Ate My Rendering!

"Hi Merlyn, Great webinar today (as usual!). I have to tell you about how Studio saved me a trip recently... I have two dogs that I rescued 5 years ago. They were holy terrors when I first got them and have come a long way since then, but they still have a few "quirks" that drive me crazy. I had just heard from a client that she wanted to go with one of my renderings for her MBR, and she asked me to send her a quote. I said sure, got her folder out and went to another room to get my calculator. By the time I got back to my desk, her folder had been ripped to shreds and partially eaten by one (or both, who knows?) of the dogs. (Yeah, two years ago they did that to my taxes just as I was going to deliver them to my accountant). Anyway, as I sifted through the shards of paper, I found my initial measurements showing all but the length of the window being quoted. I wanted to get that quote in the mail that day and not have to wait a few days to go out to measure yet again. Then it dawned on me...when I did the rendering for that window, I did it on a photo and used the set scale tool. So, I checked the rendering and had the measurement that was close enough to do the quote! Bet you haven't heard that one before!! I told the client (who also has dogs) who got a big kick out of the story (as did my accountant two years ago)...I'm so glad everyone else thinks it's so funny!

How to Build Year-end Momentum and Profit for Your Interior Design Business

I read a great book in June that said that your revenue and profits are a lagging indicator of the quality and quantity of your relationships. Boom! That one statement was worth reading the entire book.

How well are you doing on a scale of 1 – 10 for relationship building? Be honest with yourself. Your numbers are the symptom of the problem.

Every relationship is important, yet some are more important than others. Your relationship with your current and past clients is the fastest way you can get more business. What are you doing to nurture those relationships? Are you keeping in touch frequently and more than just for job reasons?

What about past clients? Do you have a nurturing program to keep them informed? Do you have a monthly newsletter that you send either physically or digitally?

What about your referral partners? Are you constantly seeking to build relationships with the top advisors who serve prospects you prefer to work with?

Here are seven tips to transform your results:

Start a 12-touch program prospects, clients and referral partners. Plan this in advance and have an intern, virtual assistant or junior designer manage the process.
Invest in lots of cards – thank you, sympathy, congratulations, birthday, anniversary, new house, etc. Have note cards printed with your branding and carry them in your car with stamps and a pen. Literally write a thank you note after you meet someone new. Add their name to your database immediately (delegate), and follow up frequently with offers of connections for them.
Ask your current clients about other projects they’ve considered and make an offer for a new service. (50% is the typical close rate)
Contact your past clients to “check in” and see how they are doing. Let them know you’re doing a short survey to improve your services, and would like their feedback. Ask for a testimonial if you haven’t gotten one from them in the past, and of course, ask for referrals if they are happy and not interested in a new project. It’s a perfect time to remind them that they can get projects done by the holidays if you start now. Give them an incentive to do so. (33% is typical close rate)
Have a “Client Appreciation” party and have them invite a friend they think might be interested in your services. Create a memorable event, and even invite a local celebrity. It can be less expensive than you think.
Make a list of the most connected and influential advisors in your city, and reach out to them to meet. Ask them if you could get their advice about how they grew their businesses so successfully. Keep the interview short. Find out what their biggest challenge is in their business and ask how you would know someone who would be an ideal client for them. Always send a thank you note. Maintain your contacts frequently.
High visibility creates implied credibility. Get published frequently in magazines and newspapers, get interviewed on TV or radio, send out press releases online and offline, get involved in one major charity that you are interested in, and speak locally and nationally. You can even write an eBook that you can publish on Amazon.

What's in your signature? Okay, I played on the Capital One credit card slogan What's in your wallet? Have you given thought to the fact that your email signature could be marketing for you? Your email signature can be an effective way to give clients a glimpse of who you are and what you're doing. The same concept applies to emails to your family and friends.

All of us at Minutes Matter use the WiseStamp App for our email signatures. WiseStamp is a downloadable add-on for Firefox, Chrome and Safari and can be used with Gmail, Yahoo, AOL or Hotmail. Last week, I decided I wanted to make my life even easier and upgraded to the Pro version of WiseStamp. For years I used the free version, but lately I began to visualize more possibilities if I were to upgrade. When you upgrade you can create unlimited signatures, assign email accounts to a specific signatures, remove the WiseStamp promo link and more. When I send an email, I feel compelled to include a signature that is appropriate to the recipient(s), therefore, I would spend time editing signatures. Anytime I send an email on behalf of debbie@dandelioninteriors.com my Dandelion Interiors signature automatically displays.

My Family signature ~ This signature is very informal with a casual photo, however, I included my social links since my family loves to know what I am up to and where I am going.

My Mom signature ~ I decided to create a mom signature when I email my two sons, it seemed to give be more of the sentiment I want to convey. I even included one of my favorite scriptures about not worrying about tomorrow and being happy today. Since I have unlimited signatures I can create, why not? When my two granddaughters get old enough to email me I'll create a grandmother/DG (DG is the name my granddaughters call me) signature. It will include a casual photo of me and the two girls.

I also created a friends/church signature which is very similar to my family signature. The closing and my signature are the only two differences.

Time Saver: WiseStamp allows you to save and backup all signatures to the WiseStamp server. Which, in turn allows you to download the signatures to all of your computers. Last week I attended a B2B marketing conference in Boston hosted by MarketingProfs. The event was fabulous and very thought provoking! The speakers were incredible. Nancy Duarte, one of the keynote speakers, she spoke on the how to present powerful and persuasive presentations. Nancy's voice was calm but extremely engaging. Save Passwords with LastPass

Recently I discussed how to setup and use Xmarks, in this article I'll discuss how LastPass can save all of your secure data, passwords and even fill out forms for you. It seems the more you're on the internet the more passwords you end up creating. Keeping up with passwords can be a daunting task.

You can sign up for a free account or their premium account which gives you access to a few more features. Premium accounts can sync bookmarks with their phone. The Premium account bundle with LastPass & Xmarks is $20 per year. I think it is worth every penny. Browse their website and watch the videos below and I think you'll be convinced LastPass is the perfect solution for your password dilemma.

Things I love about LastPass:

Form Filling: You'll want to create at least two form fill profiles, one for personal and one for business. When I want to purchase an item for my business from the internet I select my business profile and LastPass fills out the entire form including my business credit card information if applicable. When LastPass detects a fillable form a pop-up appears asking if you would like to auto-fill the form. Great time saver!
Secure Notes: I really love this feature. You can add multiple types of secure notes i.e. Credit Cards, Bank Accounts, Email Accounts, etc. (see screenshot below) Very easy to look up any secure information from your phone.
Access from your Phone: Access your secure information from your phone when you subscribe to the premium version. NOTE: You always enter the main password to access LastPass on your phone.

iPad case with keyboard

Recently, I was in Boston at a MarketingProfs event B2B Forum. There were lots of amazing tech savvy business owners there. During the sessions many were tweeting highlights of the sessions via their laptop or iPad. I found one person using the Kenningston iPad case with a keyboard. Wow, I loved it. It is so compact and easy to use if you want to take notes. And you can't beat an iPad for a lightweight note taking device. I have a thin cover for my iPad which I use most of the time. I would use this case with the keyboard when I am going to a seminar, convention or any meeting I will be taking notes. Very handy.

Create Design Projects Faster with Xmarks

In my recent iPad posts I've mentioned Xmarks and promised to elaborate on exactly what Xmarks can do for your company. Xmarks is a synchronization tool that allows you to sync bookmarks across all of your browsers and devices. This is one of my most favorite time saving tools I use in my business. I can logon to any of my devices and be able to access the same exact bookmarks. When Owen, my son, showed me Xmarks several years ago I downloaded it immediately and went right to work getting my Firefox browser organized. I guarantee you'll love it.

You can sign up for a free account or their premium account which gives you access to a few more features. Premium accounts can sync bookmarks with their phone. The Premium account bundle with Last Pass (a secure online password keeper) is $20 per year. I think it is worth every penny. (Last Pass will be explained in a future article.)

Why install Xmarks?

Ready to get started?

First, visit Xmarks.com and register for an account. You can sign up for the free account or they offer a premium account. I signed up for the premium account since I use Last Pass as my secure online password keeper. TIP: As you signup for the account, don't check any of the browser/search help boxes. They can slow down your internet browsing.
Next, install the Xmarks add-on for each of your browsers. Once Xmarks is installed on your browser, sign into your Xmarks account.
Make sure to enable the Bookmark Toolbar in Firefox; right click next to a tab and place a checkmark next to Bookmarks Toolbar. (see dia. 1) In IE you want to place a checkmark next to the Favorites Bar. I recommend unchecking all other toolbars except for Navigation in Firefox and Menu Bar in IE.
Right click on the toolbar to delete all default Bookmarks that Firefox or IE installed. Make sure you have a totally clean toolbar before you begin to add your favorite bookmarks.The Bookmark Toolbar is located right under your main Navigation Toolbar or Menu Bar. (Tip: In Internet Explorer these toolbars are called Menu Bar and Favorites Bar.)
Let the fun begin! Visit EVERY website you use on a regular basis and drag the icon to the Bookmark Toolbar. That's right, just grab the icon and drag it down to the Toolbar.(TIP This icon is located next to place where you enter a website) (see dia. 2)
Right click on every icon that has an image > click Properties > delete Name > (DO NOT delete the location) > click Save. The text take up valuable space on the Toolbar.
In Firefox, you can group all similar types of websites together on your Toolbar. Right click beside each desired grouping and select New Separator. You can easily move icons by dragging them to another location on the Toolbar.
Create separate profiles one for work, another for home and a mini profile for your phone. (I created two profiles, one for work/home and a mini profile for my phone.) Profiles can be renamed. IMPORTANT: First, create a home/work toolbar with all favorites and then you can uncheck the unnecessary bookmarks for the mini phone profile. NOTE: Phone sync is a premium feature. Profiles can be managed on the Xmarks website.
I found a great video on YouTube EXCEPT he does enable the Bookmark Toolbar. He demonstrates the old fashion way of keeping bookmarks. What's the matter with him? Dia. 1 & dia. 2 illustrates an example of the Bookmark Toolbar. The toolbar is the secret to less clicking.

I have found that Xmarks works well in both Firefox and IE. Firefox crams the icons a little closer together, so Firefox still wins out as my default browser. However, the Safari toolbar does not display the icon images. Therefore, on my Mac computer I do not use Safari.

Last week, I gave you a list of the my top 13 business apps I use on my iPad. This week I'll share my top 17 personal apps. I have hyperlinked each app to the iTunes App Store. Make sure you keep all of your apps up-to-date. It's amazing how many enhancements the developers add at no cost. If you can't find an app, wait a month or two and search again. New iPad apps are developed and launched everyday. Why use an app instead of visiting a website? iPad apps are specifically designed and formatted to fit the screen size of the iPad and the features and functions are tappable. Is that a word? It is now!

Special Note: There are several apps that are not native iPads apps. The iPad version may still be in development. However, you can still use an app designed for the iPhone by simply clicking on the x2 button in the bottom right corner to enlarge the screen when you open the app. Using the x2 button can make the text appear blurry. :(

My favorite personal apps:

Holy Bible (Free) This app is truly amazing. I use it all the time. You can read scriptures in multiple versions, make notes or bookmark specific text and even perform a search. This app is available for multiple devices. You have the ability to download and store multiple versions on your iPad which eliminates the need for an internet connection.
Allrecipes Pro ($4.99) They have a free version, however, it doesn't sync with the desktop version. You pay a yearly membership fee for enhanced membership. This is one of my favorite sites/apps. I use my iPad to prepare my favorite recipes. No more cookbooks. I enter all my favorite recipes in my account. My chef name is MinutesMatter. Who knew?
My FitnessPal (Free) This app is native to the iPhone, but of course it works just as well on the iPad. This app makes you aware of the food that you eat and tracks your physical activity. 20,411 people have given this app a 5 star rating!
Weber's On the Grill ($4.99) Love to grill? You'll love this app and it is beautifully illustrated.
Yelp Hear what the locals are saying about businesses near you.
Trip Advisor (Free) Love this one. . . looking for something to eat, place to stay or something to do? You can either enter a location or use your current location to locate just about anything. They even have forums for almost anywhere you are planning to go.
aSleep HD (.99 cents) If you like use a sound machine when you sleep this is a must have app when you travel.
DIRECTV (Free) Whether you subscribe to DIRECTV, Dish or Comcast be sure to add their app to your collection. You can quickly set up a recording (if you have subscribe to that service) check out what is going to be playing on your favorite channels. Searching via the iPad app is much faster than viewing the guide on your television.
PhonePower (Free) We use a VOIP for our personal phone service. One thing I love about VOIP phone service is that you can listen to your voicemails anytime and from any place. You can listen to your voicemails form your computer, iPhone or iPad. Complete incoming and outgoing call logs are available. Technology is amazing.
Cake Doodle (.99 cents) Sand Slides (Free Limited time) Talking Tom Cat 2 (Free Note: free version has a button to purchase items for the dog; don't fall for it) Great games for your children or grandchildren.
Redbox (Free) This app is native to the iPhone, but of course it works just as well on the iPad. Rent and reserve movies for only $1.
TWC Max (Free) Check out the weather conditions in any city.
WebMD (Free) Sick and no doctor in sight? Check out this app.
Merriam Webster Dictionary (Free) This is another must have app. Wow is all I can say about this app. I can't believe it is free. Touch the mic inside the app and speak any word you want to look up. The app will also recite the word for you so you can learn to pronounce it correctly. Love that!
FoxNews, CBSNews, ABCNews, NBCNews (Free) Get a quick snapshot of what's happening in the world today.
Wikipanion Plus ($4.99) or Wikipanion (Free) Want to know more about something? Wikipedia is the place to look.
Appstream (Free) Displays the hottest apps in the IOS universe. You can set a filter to only displays free apps and control the animation speed.

My favorite business apps:

iBooks (Free) This is a must have app. You can read books or pdfs with this app. TIP: Save pdf files to iBooks by dragging them into your iTunes account under Books.
Evernote (Free) This is a great app to store all types of miscellaneous information i.e. Images, articles, screenshots from websites. Register for the desktop version and it syncs your files with the iPad app.
Photogene,($2.99) Photopal, ($2.99) ColorSplash ($1.99) These are all great photo editing apps. I have all three and use Photogene and Photopal for general photo editing. ColorSplash is a unique photo enhancer that allows you to highlight color on selected objects in a photo.
SaiSuke ($9.99) Synchronize your Google Calendar with this app. The format is very eye pleasing and super easy to use.
Bank of America (Free) If you're a BOA customer you'll love this app, if not search the iTunes App Store for your bank's app. You'll love having quick access to your banking information in iPad format.
Xfinity (Free) We are a Comcast Business customer, they provide our high-speed internet and phone service. I love the fact that I can check voice mails from my iPad. I know you may or may not be a Comcast customer; search the iTunes App Store for your phone and internet provider.
Xmarks* (Free) This app enables you to access your FireFox Bookmark Toolbar from your iPad. If I want to visit one of my saved Bookmarks that I saved on my desktop, I open the Xmarks app and voila there are all the Bookmarks I have saved on my desktop and laptop computers. I have saved over 60 websites on my Bookmark Toolbar. (Love this app)
LastPass* (Free) This app is a great tool to store login info and passwords. You must subscribe to Premium account. $12 per year for LastPass Premium and $20 per year for both Xmarks & LastPass Premium. Worth every penny!
Linkedin (Free) Connect with other business owners. Every listing you and your business have on the web gets you ranked higher in search engines.
Friendly Plus (.99 cents) Great and easy to use app for all of us that use Facebook.
Dropbox (Free) This app allows you to access all your synced Dropbox files on your iPad. (LOVE this app)
QuickOffice Connect Mobile Suite ($14.99) This app allows you to open your Microsoft Office documents. I access all of my Microsoft Office Documents from my Dropbox folders. My favorite part is that it allows me to view my PowerPoint presentations.
RDP iTap Mobile ($11.99) This is a Remote Desktop App which enables all Studio Online subscribers to use all of the features and functions in Studio.

I just finished installing a new HP Officejet Pro 8500A printer. It copies, scans and faxes. I also like the duplex printing feature and automatic document feeder, very useful when I want to scan multiple documents. We have Windows 7 installed on all computers which are connected to our Windows 7 Workgroup. Installation & setup was a snap. I selected this printer because it was one of the HP printers that includes the AirPrint & ePrint technology. I can print from my iPhone or iPad; so easy. Love that!!!

If you're in the market for a new printer and you have a smartphone, iPhone, iPad or another mobile device I recommend purchasing a printer with AirPrint or ePrint capability. You'll love being able to print an email or document from any of your devices.

During the final phase of the install I was asked if I wanted to use HP's new Web-Enabled Mobile Printing. I thought what's this? My eyes perked up and, of course, I responded YES! A page instantly printed with directions and a website to visit. I signed up for a free account, listed my printer and now I can print from anywhere to my new HP printer at my office. Once you sign up you're assigned a special HP printing email address. An authorized user of your printer, (you choose who can access your printer) simply needs to send an email with the document to your HP printer's email address. Amazing . . . I added all of my staff's email addresses so they can print to this new printer as well.

I purchased the printer at Sam's Wholesale Club since they have the best return policy ever.

15 Reasons Why a Designer Should Purchase an iPad

It seems almost every designer has an iPad, Xoom or Playbook on their wishlist for 2011. If you're currently schlepping your laptop to client appointments, you should consider purchasing one of these new tablet devices. They're powerful, compact and lightweight. Those three features alone are compelling enough to convince designers to shell out the cash.

If you're new to tablet arena, it's easy to get confused with all the choices. I have an iPad and love it. When I purchased my iPad it was the only choice. The biggest reason I recommend an iPad over the other tablets is the access to iTunes and Apple App Store.

We receive lots of emails and calls into the office asking questions regarding the iPad. Many designers want to know which iPad they should purchase. Due to the nature of our business I purchased the iPad with 3G and the 64GB hard drive. Yes, it was the most expensive iPad. Adding the 3G capability to your iPad gives you the ability to connect to the internet when a Wi-Fi connection is not available. When I'm at client's home I don't want to ask my client if I can connect to their Wi-Fi, therefore, I needed the 3G capability. I recommend the 32GB or 64GB hard drive since our business is visually oriented and images from our digital cameras can be quite large. All of my personal and client project photographs are accessible on all my devices through Dropbox* which I discussed in a previous blog "A Smart Way to Backup Your Files."

*Saving photographs ~ Systematize: When downloading images from your camera, SAVE only the good photographs. You will save hard drive space in Dropbox and on all your devices as well as saving yourself from browsing unnecessarily through bad photos. During the initial downloading of photographs from your camera take the time to delete ALL of the bad, the ugly and duplicate photos.

A Smart Way to Backup Your Files

Setting up a backup system to backup your company files is one of the most important projects a business can do. Have you ever felt the horror of losing all your files? I hope not. That would be a terrible situation for any business owner. It consumes massive amounts of time and creates an enormous amount of stress. With that being said, if you don't have a good backup system in place this email will be the most important document you'll read this week.

All of us at Minutes Matter use Dropbox to backup and protect our files. Dropbox is a slightly different type of backup system. I save and store all of my files to a folder in Dropbox. You simply setup a filling system like you would in Documents. All files inside the Dropbox folder are stored/saved locally on our computer. Here's how the magic begins; once I save a file, Dropbox automatically syncs that file to my Dropbox account on their server in the clouds. Now, when I purchase a new device such as a new desktop computer, laptop, iPad or iPhone I simply install the Dropbox software on my new device and immediately my new device begins the sync process.

Why is this better than other backup systems? Most backup systems don't store a local copy of your files on your computer. When your files are locally stored on your computer, you can access your files faster and you don't need a internet connection to access/restore your files.

Here's why I love Dropbox in a nutshell! On my desktop computer, I can save a file for a client (a Studio Rendering or a proposal from QuickBooks in pdf format) to my Client folder in Dropbox and instantly it syncs to my Dropbox account in the clouds and then it syncs to my laptop, iPad and iPhone. Within minutes I have access to that file on all of my devices. Dropbox also allows you to share files or entire folders with partners, family or friends. That is just about everything you need or want in a backup system.

Finally, an easy way to save and store files to a central location. You can access your files from anywhere and from any device and with or without an internet connection. Are you beginning to see possibilities and benefits?

Two scenarios how Dropbox can be a great solution for your business:

Create a document on your desktop computer at the office, then at home later that night access that same file from your laptop computer.
Create a document on your laptop computer at home. Ask your partner/design assistant to look at the document and make any necessary changes from their computer.

You can access your Dropbox files easily on a Mac or a PC. Install the Dropbox software then click on the Dropbox icon.

Are you wondering the price of this wonderful software? You can sign up for their free account which gives you 2GB of space. Once you determine the value of this unique backup system and want to save and store all your files in Dropbox you can sign up for a paid account. They have two levels $99 per year for 50GB and $199 per year for 100GB. We use the first paid level at $99 per year.

Share Dropbox with your partners, employees, friends and family and they get an extra 250MB of storage space free and you also get an extra 250MB for sharing with your friends.

Do They Know What You Do?

During my morning reading today, I read a very thought provoking blog that Jane Pollak wrote. Jane titled her blog What You Don't See. As you read you kinda chuckle, thinking about the people you know or really don't know. Maybe we really don't know how much knowledge our friends possess on a specific subject or how amazing they are in their field of expertise. Which brings me to Jane's final question . . .

Do Your Clients Know How Good You Really Are?

If you don't tell them who will? Many of our clients have only seen a limited scope of our skills and talent. It is easy to share little bits and pieces of your knowledge with your clients and potential clients. All you need to do is begin writing weekly newsletters or blogs. Make sure your articles automatically feed to Facebook and Twitter. Remember, your articles should be short, sweet and have photographs. Many times longer articles are put on the back burner to read later, when the reader has more time. When will that be?

How to Get Found Online & Get Interior Design Business

You have a nice website, yet you’re not getting the calls you want or need to have a profitable and sustainable business that provides the lifestyle you deserve. Why is that?

Just because you have a website doesn’t mean consumers can find you. Have you searched for interior designers in your metro area? Do you come up on the first page of Google or Yahoo? If not, you need to do some work. 80% of the calls go to the top three listings on the first page of the search engines.

List your site with the search engines. If you do this yourself, this can take many hours, but it is free. I really recommend outsourcing this to someone who does this all of the time.

Optimize your site for the keywords that people use to search for interior designers in your area. Keywords could be “interior designer new york,” or “kitchen designer San Francisco.”

Your website should be optimized with your keywords, in what are called anchor links within the text of your site. An anchor link is text that the search engines see that indicates relevance to a search by someone looking for your services.

For instance, one search term you might use to look for me is “value based fees.” If you’re looking for information about growing a more profitable and passion-filled interior design business, the link takes you right to another site we own. (Be sure to download the complimentary eBook!)

Make sure you anchor link keywords to secondary pages within your website. This is called “deep linking.” The search engines reward you for this because you have more content that makes the search on your site more relevant.

Here are examples you might use on your site:

Interior design city
Interior designer city
Kitchen design city
Bathroom design city

If you’re really on top of the game, your website address, or URL, should include the main keywords someone might use to find you. For example: http://www.interiordesignorinteriordesigneryourcityyourcompanyname.com.

If you don’t have a website address like this, you can register a new domain that uses this naming convention and forward it to your current website address.

Be sure to list your site on Google, Bing and Yahoo! maps. This is free, and extremely important to help you get found. These days, over 70% of all people who look for any service look online and view your website before calling you. If you’re not on Page 1, you’re not very likely to be found.

Add a blog to your website, and post articles at least once a week with the main keywords for your site. Search engines “crawl” the web every day looking for new content. Fresher content gets higher rankings in the search engines. If you don’t have a blog attached to your site, then at least update your website as frequently as possible.

I recommend a blog because you can update the site yourself. There are many qualified web developers who can set up a template for your site and teach you how to use it. You can even use a hybrid blog template that looks more like a website. Just search on Google for WordPress templates and take a look at the options available.

Every website or blog can be customized with your logo, branding and graphics.

Remember to write your content to appeal to the emotions of the potential client. Don’t use a laundry list of what you do. Tell your visitors how you improve their lives.

Use alt-tags for all photographs on your site. Alt-tags are the text you see when you roll your mouse over a picture or image.

Use similar naming conventions that I mentioned above. “Master Bedroom Interior Design NYC” is a good tag if you want your images to be found in the city of New York. Images are more likely to be found than your website.

Talk to your webmaster about your H1 tag (Title Tag), Meta Description and Meta Tags. These must be relevant to the keywords that your prospects use to search for you on the web.

If you really want to get found, use a video about your business. Few designers use videos yet, so you’re very likely to get a high search ranking if you use a video with keywords and your URL in the description.

iPad 2 Releasing March 11th

Someone stop me from getting out my credit card! I love my iPad, but I love the new features in the iPad2. The new iPad 2 is faster. Now who doesn't want more speed? It now includes a front and rear facing camera. I want that too. It is lighter and thinner. I like thinner . . .

Love the new cover design with the magnets. Very innovative. Watch the video, they always do fabulous presentations and make them look so effortless.

I was hoping they would include the ability to use their Magic Mouse as well as the ability to view Flash websites and videos, but it appears they didn't include those features.

How would you describe your design style?

My design style is relevant classic traditional. I provide my clients with timeless style that functions for today. My spaces are edited neutral backdrops where accessories provide color, texture and personality. Having lived all over the US (7 cities in 17 years of marriage), I’ve been influenced by various geographic regions, so I have a lot of “likes”.

What do you do, or where do you go, for inspiration?

Designers will tell you, travel provides inspiration. I agree, but I also get lots of inspiration from High Point and Maison Objet (Design Trade Shows). Traveling with my design peers and attending industry market shows, is so stimulating. You get completely invigorated by the creativity at these forums. I love that energy and try to attend several each year.

What is your favorite furniture piece of all time ? How were you able to use it in a particular project?

I love the Allie bed from my Kristin Drohan Collection. I have it in my own bedroom. It is one of my top selling pieces. A Chippendale wing back chair I inherited from my Grandmother provided the inspiration for the design. I upholstered it in a high performing eco vinyl for durability, but it still maintains a luxurious look. (See above)

In your opinion, what makes a great room?

In order to have a great room, I think you need an efficient space plan, an interesting focal point, accurate proportion and scale, a mix of old and new, and items with various price points.

What is your favorite Benjamin Moore paint color to use for walls, ceiling, and trim?

My favorite Benjamin Moore walls colors are HC 28 Shelburne Buff, HC 29 Dunmore Cream, HC 34 Wilmington Tan, and HC 144 Palladian Blue. I use Decorator or Atrium White for Trim and do 10 to 25 percent of the wall color for the ceiling. Most of my clients have kids and dogs so I use an eggshell finish. Eggshell goes on smooth, cleans up easily, and doesn’t look chalky.

Is it lifestyle that has generated the design changes, or is design the driving force that affects how we live?

Lifestyle defines product design. Considering how someone lives is crucial to designing a space that fits their needs. If a space is gorgeous but your client doesn’t use it, is a big design failure. All of my furniture designs in the Kristin Drohan Collection were based on a functional client need I could not find in the market place.

Do you see part of your role as designer being that of educator, expanding your clients’ awareness of green products? How informed do you feel you are on the subject?

Designers are the ultimate educators in green products. Being one of the first 100 Interior Designers in the US to be a Green Accredited Professional, I’m passionate about the subject but also realistic. I think a related goal is providing décor choices that are safe and made in America. Avoiding products that are manufactured with high levels of VOC’s (volatile organic compounds) and supporting our US economy is a responsible choice designers should make.

What is the ultimate goal of all your projects?

The ultimate goal of all my projects is to improve or enhance my clients’ lives. If I can provide them with an environment that improves their lifestyle and provides comfort, I have done my job.

Hunter Douglas moves to the clouds!

I subscribe to Google's blog so it comes right to my inbox. You know me, I like to be "in the know." I quickly skim over the blog posts gleaning any pertinent information that might be useful to us. I thought it was interesting that Hunter Douglas (read the article) was listed as a company that was moving to the clouds.

Below is an excerpt from Google's blog two days ago. Looks like lots of businesses are packing their bags and moving to clouds.

"Who’s gone Google?
Recently we’ve seen a surge in new public sector customers—including the Administrative Conference of the United States, the Kansas Department of Wildlife and Parks and the City of Rochester Hills. These organizations are not only saving taxpayer dollars with Google Apps, but also boosting the productivity of their ranks.

More than 50,000 businesses have also started using Google Apps in the last three weeks. Pithy Little Wine Co., DeyFischer Consulting, Manna on Main Street and Hunter Douglas are just a few of the businesses we’ve profiled recently who are are going 100% web."

In the last six months Google has added some major enhancements to their Calendar, Google Docs, Google Spreadsheets and Google presentations. I especially like how they made it easier to share all Google files. You can choose to share a Google file with one person, a group of people, make the document public or keep it totally private. Below is an example of an email that is sent to the person you are sharing the document with. In this example, I am sharing a presentation with just one design client, all the client needs to do is click on the hyperlink to view the presentation.

I absolutely love the ability to have all these documents online and in a central location. I don't use Excel or Word anymore, I have given all that up and moved to Google Apps. We've been in the clouds for over a year now and loving every minute of it. I can access all of our information from my Mac desktop, my Dell Laptop, my iPhone or my iPad.

A New & Unusual Way to Use Studio

Now, that's is a mound of snow! This winter has certainly had record amounts of snowfall. In a previous post you seen an amazing 10' snowman, but this photograph caught my eye because our software, Minutes Matter Studio, was used to measure the mound of snow. Lynn of Wakefield, MA posted this photograph on the CHF forum to show other forum users the height, to the inch, of the snow mound in her driveway. I can't imagine how long it will take to melt.

Using our unique Set Scale tool and our Dimension tool quickly allows users to scale a photograph. Lynn reminds us all the uses for Studio are only limited by your imagination.

One on One Consultations

Yesterday I worked with a designer who had limited Studio experience. Within one hour we had imported a photo of the client's room, rescaled it to match the actual dimensions, downloaded and cropped a fabric from a vendor's website, added a wall of sheer draperies and an inverted pleat top treatment in that cropped fabric with contrast insert, photo clipped the sofa, and learned a few techniques along the way such as duplicating, aligning, filling with pattern, and measuring with the dimension line tool.

And the designer did all the work while I guided her. This is a fantastic way to learn hands-on; you don't forget it if you actually do it, rather than watching someone else demonstrate. Best of all, we recorded the session so that she will be able to play it back and review what we had covered.

I'm sure the Countess of QuickBooks, Vickie Ayres, and Anna Davis, our Success Coach, can recount similar experiences with their consultations.

If you are guilty of spending too much time on a project, whether it’s one you love or hate, or if you are feeling that you are losing productivity, you may want to start timing yourself and taking forced breaks to keep fresh and focused while avoiding brain freeze, eye strain, and neck cramps. If the first happens, you may not even be aware of the other two! What about those phone calls that are supposed to be quick and efficient and end up eating an hour of your time?

I tease my Coaching students about my twelve-step program for Studio addicts. They all think I’m kidding until they get to the third week of the six week session. Then I hear reports of having so much fun they can’t stop thinking of new ways to tweak their renderings, or spouses asking why they’re still up at 2:30 in the morning.

I've discovered a good solution to these addictions, obsessions, time wasting spirals we find ourselves in....

Check out this cool app for your computer. It’s based on the Pomodoro Technique of working for twenty-five minutes, then taking a five minute break. After four work periods, you take a fifteen to thirty minute break.

Surge Protection

This winter many of us have experienced electrical power fluctuations and outages due to ice, snow and wind bringing down electrical lines. Did you know that these outages and spikes caused by power coming back on can damage and decrease the life of your surge protectors? Even though the surge protector is designed to handle these fluctuations and protect our valuable electronic equipment from harm, they can wear out and need to be checked to ensure they are still working. Many have warning lights to indicate loss of function.

If there have been several outages or brownouts or even the flickering of lights in your area, you may want to consider replacing your surge protector, especially if it was an inexpensive model or more than five years old. The surge protectors with higher joules (how much energy the surge protector can absorb before it fails) ratings can handle more surges than the inexpensive ones with lower ratings.

Look for a device that has the UL certification plus equipment warranty and expect to pay between $30 and $100 for a good quality surge protector. The one picture above even has a remote to turn it on and off. After chatting with several supergeeks at a few computer stores, we purchased a 12 outlet 3940 Joules surge protector made by Belkin with a $300,000 equipment protection warranty for under $50.

Let it snow

It's been beautiful here in Alabama with our record amount of snow. First it snowed ON Christmas Day, then a few weeks later the storehouses of snow opened again. This time it measured 8.9 inches at the airport. In the past several years, we've had a light dusting but never enough to make snowballs or really even build a snowman. This year it's a different story...

As I watched the early morning snow falling I came across this scripture: "God’s voice thunders in marvelous ways; he does great things beyond our understanding. He says to the snow, ‘Fall on the earth,’ and to the rain shower, ‘Be a mighty downpour.’ So that everyone he has made may know his work, he stops all people from their labor." Job 37:5-7

Since this was such a wonderful sight, we took advantage of the time together as a family. We spent from 9:00 am to 2:00 pm just playing. Our day began with preparing for the epic snowball battle: complete with snow built barriers and a wheel barrel of snow balls. The competition was between us and our neighbors.

Then we created the biggest snowman ever! It measured 10'6" tall & was built IN our street! When we were done, other neighbors walked dogs down or drove thier family over just to take a picture in front of the snowman. Of course, the kids helped for about 15 minutes and the remaining three hours Owen, Brad (our neighbor), and myself finished what we had started. A few neighbors even came over to help: carving the waist or hoisting the massive head to the top. The funny thing is this is the first snowman I've ever built!

2011 Interior Design Business Predictions

My crystal ball predicts a mild recovery in 2011.

The tax bill passed in December 2010, and economic indicators are stronger for remodeling. The affluent are spending again. However, they are more cautious and value-driven than before.

What can you do to grow your business?

Specialize. Create a specialty niche that capitalizes on a growing trend. It doesn’t mean you’re limited to doing that work, but it makes it easier to market your business because you will be known for that specialty. Neurosurgeons make 265% more than family practice doctors. Kitchen and Bath designers make much more than the average interior designers based on NKBA statistics and our findings.
Create your own economy. (Some interior designers are swamped, congratulations to you!) Why? They spent their year marketing consistently. They revamped their websites, reconnected with past clients, used social media, increased their visibility with public relations and generally worked hard. Action: Create a 12-Month Referral Program for your business. One for past clients, one for current clients, and one for referral partners. Automate it with software like Constant Contact, Send Pepper or AWeber.
Increase your visibility. Self-promote or hire a publicist. Create a 12-Month plan for Advertising, PR and Marketing. Make sure you have a Facebook Fan Page, Twitter Account, Optimized LinkedIn profile and an updated website. List your business on the Search Engine Maps for your area. Optimize your website to include the words, “interior design your city” on more than one page, create a blog and post at least once a week (make sure it is attached to your website) to increase your website traffic. Set a target for your media exposures. Don’t stop until you have commitments for the number of articles, public speaking opportunities, TV or radio interviews. Write blog posts for your local on-line newspapers. Get involved in your community.
Joint venture. Find people who are in allied businesses and co-promote. If you’re not a specialist in window treatments, kitchen or bath design, partner with someone who is. Develop a relationship with a remodeler and create joint articles or press pitches about the latest trends. The media loves to hear about trends.
Systematize your marketing. Some wise person said, “you never know which day you missed marketing that caused the phones not to ring months later.” Inconsistent marketing creates inconsistent results. Market, Market, Market. Marketing makes selling irrelevant. Analyze what you’ve done in the past. If you didn’t get a result after spending thousands of dollars on advertising, STOP!

Everyone knows I love books, whether they're a hard copy or audio. I guess it's my constant thirst for knowledge which drives me to read. We never get too old to learn something new.

10 Goal Setting Mistakes Most Interior Designers Make

It’s that time again, when most of us are thinking about setting goals for 2011...and most of us won’t accomplish them. Why is that?

We get excited and create amazing resolutions or goals, and within days, we stop working on what we know we want to do, but do we really truly want to achieve those goals?

If you don’t have a Goal Journal, go purchase one a blank journal at the office supply or bookstore. That’s your first step to goal achievement in 2011.

Why don’t we accomplish our goals? Let’s look at some of the top reasons:

1. We set too many goals. It’s like going to a buffet. If you mounds of food and put it all on your plate, you’ll eat too much, and yet, not get the nutrients you need. Or, you’ll eat a small portion and waste the rest. Why do we do this? We want to make some significant changes, but we don’t have a realistic expectation about how long things will take. So...when you set those goals for yourself, be sure to include a time estimate for each of the goals to be completed. Realistically, you can only do one thing at a time. Focus is the key to success. Strategies:

Set 1 - 3 goals per month at the most
Estimate time to be completed
Set an end date for completion

2. We fight our own subconscious belief systems. We may not believe we’re worthy of the success that reaching that goal will mean. If your internal beliefs aren’t in synch with the goals that you’ve set, you’ll self-sabotage and then feel even worse that you didn’t accomplish your goals. When you set goals, identify the beliefs you must have to achieve those goals. Strategies:

Evaluate whether your real true core belief about yourself is aligned with the beliefs you must have to accomplish those goals.
Identify what steps you must take to change your beliefs that you are worthy of those goals and release those negative beliefs.
Define what it would mean emotionally to you to accomplish those goals. Would you feel confident and proud?

3. We don’t write down the steps and resources we need to achieve those goals. Just writing down a goal without the steps almost ensures that we are writing down a dream and not a goal. Strategies:

Write one goal per page in your new Goal Journal.
Write the step required right before you achieve that goal.
Keep working backwards until you have the first step identified.
Immediately put those steps on your calendar based on your time estimates and end date.
Focus on achieving the steps and not the end result.
Celebrate your accomplishments frequently.

4. We’re not accountable to others or to ourselves. It’s easy to let ourselves not follow through. We’re too busy, too tired, too frustrated. Strategies:

Identify your excuses and exorcise them. You either have excuses or results. Which one do you choose?
Get into a mastermind group and make that a requirement, that every week, you set accountability and you at least get a friendly kick if you don’t get the task done.
Remember that if you don’t take the accountability to yourself seriously, you’ll get less accomplished.
Don’t make a goal or promise to yourself unless you’re willing to keep it.

5. We set goals that don’t mean anything to us personally. If you’re doing something to please others, you’re likely to disappoint yourself. Strategies:

Only set goals that you are committed to do because they fit with your personal values. If they don’t fit your personal values, then don’t commit to them.
Setting a goal to lose weight because we want to be more attractive to our mate or prospective partner won’t keep us on task.
Do it for yourself because you want to feel healthy, sexy and attractive.

6.We don’t cut expenses quickly enough. If your goals are financial, and you’re not on track to achieve your financial target, it’s important to make changes. Avoiding the problems won’t make them go away. None of us expected the economy to crash so completely, and if you’re still doing the same things you were a few years ago, you could save some money on non-essentials. If you can overcome your own resistance to change, fears and concerns, you’ll be even stronger as a person and as a business owner. Now it’s important to find your resourcefulness and determination to succeed in spite of it. Strategies:

Cut non-essential expenses.
Use outsourcing instead of adding employees and the associate overhead.
Bundle your phone and Internet services.
Cut out subscriptions. Go to the library or bookstore to browse.
Invest in leverage for exponential success – software, education and marketing Don’t cut your marketing or education budgets.
Keep your expenses low even when business returns to a more normal level.

7. We don’t have time and resource contingencies built in. Life happens and when we don’t account for the fact that we get colds or the flu, or others need our help with something, or we need an extra cushion in case of emergencies, then we get frustrated and give up on a goal because we didn’t allow for that time. Strategies:

Allow twice as long to accomplish your goal and twice as much money.
Determine your Plan B or Plan C just in case. If you don’t get 6 new clients, what will you do? How will you achieve your revenue goals?
Set up reserves in your business to help you cover shortfalls.
Think about additional resources you can draw on to meet your adjusted goals when you’re not on track to achieve them on time and within the budget you set.

8. We don’t remind ourselves about our goals often enough. How much is enough? Strategies:

Create a collage with pictures of how you’ll feel when you achieve your goal and what it looks like.
If you’re shooting for a dollar goal for your business, create a picture or add color to the graphics of the dollar figure, and add that to your collage. Include pictures of your family so you connect the earning of the money with what it will do for your family and for yourself.
Include pictures of the rewards. Will you give yourself a day at the spa, or a massage. We think in pictures, so use pictures to motivate yourself and connect with the emotions you’ll feel when you achieve what you desire.
Look at these pictures and reminders every day, and be sure to include them on your computer screen or in your Goal Journal (that you’re going out to buy today) so you can see what it is you want to achieve and can measure your progress.
You can also scan in a collage of goal achievement pictures and use it as a screen-saver on your computer.

9. Don’t look at goals as a heavy burden. Add rewards for accomplishment. Strategies:

Take a break, have coffee with a friend, go to the museum for a few hours, take a walk, put extra earnings in a separate fund to purchase a small reward like a great picture frame or massage.
Write down what you’re grateful for in your Goal Journal and do it frequently. That in itself is a great reward for small accomplishments.
A long journey begins with a single step.
Take the first step.

10.We feel like a failure if we have setbacks along the way and it can tempt us to give up. Strategies:

When setbacks arise, take a detour. Each setback is feedback, and it means we need to take in what we experienced and think about what we learned from it. It’s not a reflection of our character.
Be your own best teacher. We all learn more from our mistakes more than our successes. Discover the root cause of your setbacks, and how you can avoid the same challenge in the future so you don’t repeat the mistakes.
Use your Goal Journal to record your setbacks so you can figure out how you can overcome them.
Record your progress.

You are worthy of great accomplishments and recognition for who you are. Remember that it is more important to do things because they make you feel good than it is to get recognition by others. It’s good for your soul to feel that you’re worthy and wonderful the way you are.

Minutes Matter offers free monthly webinars for which you can register quickly and easily. Look for an email or check our website and blog for links to the various presentations.

Once you click on the link to register giving only your name and email address, you'll receive a confirmation email. When you use the link from one of our emails, you can "auto-register" by simply clicking, there's nothing to fill out. If you don't see the confirmation, check your spam or junk mailbox.

On the day of the webinar, you'll receive a reminder.

At least ten minutes before, click on the blue hyperlink in the email and wait for the GoToWebinar software to download. This takes less than a minute. Then you're in the meeting site. You can decide whether to listen to the presentation through your computer's speakers (this is called VoIP - Voice over Internet Protocol) or by calling in on your telephone which may be a toll call depending on your long distance service.

Your computer monitor will display the presenter's screen and you will be able to watch in the comfort of your office or home as the demonstration takes place live.

Because we have so many attendees, we have everyone muted to prevent feedback from background noise. We still want you to participate, so use the Question box on your Attendee Panel to type in your questions. One of our organizers will respond and if your question needs clarification, the presenter will demonstrate on screen.

3. Go to your Google calendar and find the “Add” link. Look for it on the bottom right of the “Other Calendar” section on the left side of the screen.

4. Select “Import Calendar”.

5. Select the appropriate file (the one you just downloaded) and click the Import button.

6. You’re done! The event will now appear on your calendar.

The whole process takes less than a minute, and you have all the info accurately placed on your calendar.

Windows of Opportunity ~ WCAA Atlanta Chapter Event

The WCAA Atlanta Chapter hosted Windows of Opportunity which was a vendor round table event. There were six different vendors and approximately 70 attendees. All attendees were divided into six groups. Vendors prepared a 45 minute talk and repeated that talk six times. The attendees loved the small groups, they felt free to fully participate in the sessions.

One of the chapters member created these fabulous fresh floral arrangements. The arrangements were very unusual and the design allowed for conversation during lunch.

Tracie Bresnahan, is the current President of the WCAA Atlanta Chapter.

The guys from Menagerie, discussed corona and unique hardware solutions.

Susan from the Rowley Company discussed the new issues with the roman shade guidelines and shared some solutions.

That's me! I discussed lots of new and innovative marketing solutions.

Sandy and Terri from United Supply.

Katy and Mike Garrett from Connexion discussed how Connexion their new In-the-Cloud software can help designers, fabricators, installers and client communicate in one central location.

Greenhouse Fabrics discussed new fabrics and color trends.

Several of the members recommended that we eat at Seasons 52. So after the event, Mike, Katy and I headed out to Season's 52 which is a restaurant that serves fabulously fresh and healthy food. None of their dishes have over 450 calories. One of our favorite things was the Grilled Steak and Cremini Mushroom Flatbread; I think we should have ordered two of those instead of one for appetizers.

A Drastic Change . . .

Recently Owen and Casey decided to make a major change in their life. Before you guys get scared, Owen and Casey will still be a big part of Minutes Matter. In May, they attended a weekend event, Outback America, which compelled them to make changes in their live. Some of the changes have led them to sell their house and move to the inner city of Huntsville, AL to be apart of the Lincoln Village Ministry. Several years ago, a few people and the city of Huntsville decided to get involved and help rebuild this neighborhood. Owen and Casey feel God has called them to use their talents in new and unique ways. As you know, one of Casey's gifts is art and another is her love for kids. Owen is gifted in technology and loves working with teens. For years, they have been heavily involved with the youth group at Twickenham Church of Christ and their house has always been a revolving door for the teens.

This type of ministry is not new. Do a search and you'll probably be surprised to find there is one of these ministries near you. We have one in Nashville area called The Front Porch Ministry.

Since this is such a drastic change, most (if not all) of their furniture will need to be sold with their house. The house they are moving into is approximately a third of the size of their current home. They are planning to use some of their profit to purchase furniture that will be more multi-functional for their new smaller space. Here's a glimpse of the Lincoln house, you can see they have some work that needs to be done.

This brings me to my reason for this blog:

Last week, as I was doing my morning reading, I happened to notice a contest sponsored by CB2 which happens to be one of Casey's favorite stores. In fact, we purchased several items from CB2 for our new Minutes Matter booth at High Point Furniture Market: wall mounted magazine rack, lamp, and table. The $10,000 CB2 gift card is what attracted me to investigate the rules of this contest. I thought to myself, someone is going to win this contest, why not Owen and Casey and my two precious granddaughters! If they win, they would be able spend the money they would have spent on new furniture on other things in their new surroundings. Believe me, there's a lot to do.

What I would like for you guys to do is vote for our booth at High Point. The entire $10,000 gift card will be used for furniture and storage in the new home. We would love to be one of the top 50 vote-getters to become a finalist. We have appropriately named the entry The Drastic Change, because we felt like this name was fitting for our new High Point space as well as their new life.

Please tell all of your friends and family to vote and help Owen, Casey, Maddie (9) and Morgan (5). The girls have big hearts and always want to help others but most of all want to please God. However, they are feeling a bit of apprehension in leaving their house and friends. Owen and Casey are very fortunate to have families that are extremely supportive. Both Jerry & I and John & Penny Kester (Casey's parents), told them we'll do whatever is needed to help them get the house ready. Owen's brother & his wife (Lee & Leah Green) and Casey's sister & her husband (Carrie & Ricky Jones) will also be helping a great deal.

Connexion ~ It's new, it's amazing and it's for every design business!

On Friday August 6th, we were finally able to make our big announcement. Deb Barrett, with Window Fashions hosted the launch webinar for CONNEXION. CONNEXION is a collaboration software that allows designers, installers, fabricators and clients communicate by accessing one software.

Well, here it is ~ Studio is moving to the Clouds with CONNEXION and that is just the beginning. Studio will now be available online. What does that mean? I was so excited this morning when I received an email from one of my clients. "I can't wait to get my statement this month for my checking account. I can't wait to reconcile!" Made me laugh and feel proud all at once. I was proud of her for learning a new skill and proud that I could be a part of leading her there.

The key to reconciling any statement in less than 3 minutes in QuickBooks is too QuickBooks set up properly at the beginning and entering transactions as you go. When the statement arrives you don't dread it, you can actually get excited about how easy it will be!

I love to put the time I start in the upper left hand corner of the statement and the finish time in the upper right. I always try to beat my time from the month before. I know, its silly, but it makes a dull task more fun.

Update for Studio 3.0 is Ready to Install

We wanted our Studio users to be the first to know that we have just released an important update for all Studio 3.0 users. EVERYONE needs to install this new update as soon as possible; the update addresses a couple of issues (you know those cute little bugs that can make software do funny things.) We are happy to report that all of those little bugs have been contained and Studio is running better than ever! See the list below:

You can now click on an .mms file and Studio will open
You can import image formats other than jpg i.e., bmp, gif, png, etc.
Straight lines are now rendering correctly
Layers box has been fixed to display the correct layer information
Page margins are now adjustable via the page setup dialog
Page scale is now copied when a page is duplicated

Didn't receive a notification that a Studio update was available? When you open Studio you should see a pop-up alerting you that there is an update available. If you didn't receive this notification, click on the link below to install the update.

Mac users with Parallels or VMFusion: If you didn't receive an update notification or only use the internet on the Mac side of your computer, you can use the alternate download link above to download a setup file to your Mac side. Once the setup file has downloaded then copy the setup file to your Windows side and double click on the blue Setup icon to begin the installation on the Windows side.

Confirm that you have the new build date of 07/04/2010. To confirm build date > Open Studio > click on Options (upper right corner next to the ?) > click About MMStudio > (Build 7/4/2010) is displayed at the top. Any modules you have purchased will be displayed below the build date.

If for some reason your build date is NOT 7/4/2010, you will need to uninstall your current version of Studio and then click on the download link in this email (above) to install the new version. To uninstall Studio > click Start > Control Panel > Add or Remove Programs > scroll down to locate Minutes Matter Studio > highlight and click Remove.

6. Taming Your Inner Demons – many of our members had some AHA moments during one session we did on Planning for Profit. It is critical that you find out if it is you that is stopping you from being successful. If you are insecure around affluent people, or you are a people-pleaser, it is important to ask yourself if your insecurity is causing you to miss your goals. If so, this is one of the biggest leverage points you need to work on. I have learned over the years that if something is making me nervous or I am procrastinating about something, either it isn’t a strength, I am fighting something internal, or it is an opportunity to grow and become more skilled. You should always feel a little stress right before you learn something new. Sometimes it helps to think about the benefit of doing the thing you are avoiding, and doing it in spite of the feelings of discomfort. If you aren’t feeling discomfort or fear, you’re probably not pushing yourself enough.

7. Business Dashboard & Drivers – you need a Business Dashboard with 5 – 7 key metrics or measures for your business. How many clients do you need? What is the lifetime value of your client and how do you increase it? What other measures are important in your business? Profit?
Marketing and sales are the key drivers of your business. Period. If you don’t like marketing and sales, you really need to ask yourself if you really want to run your own business. If you are an established business, about 1 – 2 hours of each day should be devoted to marketing without fail even when you’re busy. If you are new to business, or the economy has impacted your revenue, spend as many hours as you can on the highest leverage activities for marketing. What are they?

If you really WOW your clients, you’ll easily get great referrals. This should be your number one focus of your business. If you aren’t getting this response, you’re slowing down your referral stream. Go back to your current clients and ask what “WOW” means to them. Think outside of the box, act and then ask for referrals and testimonials. One out of two existing clients may opt for a new offer from you. This is your easiest route to more business because they know, like and trust you.
If you have clients whose projects have been finished for awhile, you are likely to activate one out of three of those clients, so this is your second best way of getting business. Ask these previous clients what they liked about working with you, what they’d like to be different and then think about an offer you can make to get them to do business with you again.
Referrals from people that are doing business with the people you want to do business with. The best way to get referrals is to give referrals. Ask the question that Bob Burg, The Go-Giver, suggests – “How would I know who would be a great referral for you?” Start there and give, give, give. Be the hub of giving in your marketplace and you’ll get lots more business.
Niche – be as clear, concise and narrow as possible with the description of your niche and services. Phrase them as benefits that your client receives.
Ideal Client – have a complete profile developed for the perfect client for you. It should include their demographic (income, age, marital status, etc.), psychographic (interests, educational level, hobbies, values, etc.), and technographic profile (computer savvy, text messaging, social media, email, etc.)
Brand – make sure your brand is consistent throughout all mediums that you use to market – messaging, website, blog, social media, cards, stationery, PR, advertising, etc. It should be authentically you so that if someone sees anything from your firm, they say, “Oh, that’s so you.”
Brand message – what is it you do uniquely that no one else does. Your brand messaging should be focused on what you do for the client instead of what you do as an activity to serve them. This is where many designers go wrong.
Keep current with new marketing standards. If you’re not keeping up with technology for marketing using online social media resources, you will be seen to be “out of touch” and “out of date.” Be sure that this is part of your marketing focus. Always be learning! This includes LinkedIn, Facebook Fan Pages, a blog, Twitter and YouTube. These are the fab 5 of the online world right now.

8. Measure Your Progress - once you create your dashboard, it is important to measure your progress. Review your dashboard daily. Create one for your personal life, too.

9. Awareness and Improvement – being aware of yourself and your emotions is vital. Your emotions drive your activities. If you aren’t clear on what is working and what isn’t, it is time to ask yourself more questions. Is this activity a driver? Is it something I can improve? Do I
want to improve? If I don’t do this, what will happen? It’s up to you to find the core motivation to get over your own hurdles. Keep a journal and ask yourself at the end of the day what you learned. What would you do differently? What will you start doing? What will you stop doing? What will you do more of? What will you do less of? (You can use these questions for employee reviews, too.) Awareness truly is the key to change.

10. Identify Your Constraints – this is probably the biggest AHA I had in the last few years. My business coach, Rich Schefren, talks about this. If you take some time to really focus and think about your life and your business, what is it that is really stopping you from achieving everything you want in life? Is it internal? Is it external? Is there another way to look at it? What caused the constraint or bottleneck? Why? Why else? What could you do to remove it? If you were to remove it, what would happen in your life and your business? How would things be different? Why would that be important? Who can help you get there? Just remember to look at this question as if there were no time, money or resource constraints. Once you get clarity on the constraint, then ask these questions, “How can I remove this constraint?” and “How can I get the resources?” There isn’t just one constraint…there are many, but focus on the biggest one first, and then the next and the next. Just think about a river with a beaver dam, if you remove the logs, the water flows freely. If you do this one exercise, you will be amazed at what happens in your life.

I’ve been amazed in my own life and business at how much I’ve accomplished since improving my knowledge and skills through classes, coaching and masterminds. Invest in yourself and no one can take that away from you. My personal goals are growing every day, and the more I learn the more I want to learn. Surround yourself with people who know more than you do, and who are more successful. Your success is directly linked to the people with whom you surround yourself.

Here’s one final thought and that is about leverage. You have a choice, and that is to invest in the best you can afford in terms of services, products, education or tools. You can’t afford not to do this. You only cry once when you pay for quality. Are you worth it?

10 Time Triage Tips - Part I

One of the common themes I hear from interior designers is their feeling of being overwhelmed and “busy” especially when business is really good which we all hope it will be in the near future. This is the perfect time to really think about your business and plan for a more successful future.

The important question to ask yourself is, “Am I Busy or Am I Productive?” We’ve been talking about this in our Business Mastery Membership Monthly Mentor sessions, but I want to extract some key ideas for you to consider.

1. Laser Clarity – this is really the key to time control because you’re really not controlling time, you’re controlling yourself. If you aren’t clear about why you’re doing something and how it will get you to your goals, you’re wasting time. Once you’re clear, the path is direct and inevitable. It absolutely must be tied into your emotions, values and reason why or you’ll find yourself sabotaging your results. Your goals must be specific, measurable and written with a date for completing. The quality of your life depends on the quality of your questions. (paraphrased and author unknown) Here are some questions to ask yourself:

Why are you doing what you are doing?
What is success to you?
What are the measures of success to you?
Does your business align with your values?
Are you enjoying it?
What specifically do you like about the business?
What specifically do you love doing?
What specifically don’t you like about the business?
What specifically don’t you love doing?
What specifically would you like to learn?
Are you happy?
Are you achieving what you want?

2. Fanatical Planning, Laser Focus & Lockdown (Debbie Green's great word!)

A goal without a written plan is just a dream. I don’t remember who said that, but it is true.
You can only do one thing at a time. The more projects you start at the same time, the longer it will take you to complete all of them. Multi-tasking is deadly to achieving your goals. Focus on the biggest and most important things first. Start with the end in mind and write down the step that needs to be done prior to achieving the major goal, and then the step before that, etc. Schedule your time.
Identify your 2 – 4 most productive hours of the day. Are you a lark (early) or owl (late)? Always schedule your work on the drivers of your business during these hours. Be ruthlessly protective of this time and do what Debbie Green with Minutes Matter Solutions, Inc. calls “lock-down.” Turn off the phone, instant messaging, close the door, totally focus on the projects that will do the most for your business first. If you have trouble starting, just write down the smallest step you can take to get started.
You have to know how much time things take, and if you don’t you can’t manage your time. Start logging for a few days how much time you spend on different activities. If you’re spending two hours on email and answering your phone per day, you’re being reactive vs. proactive. Control this and start becoming aware of how long things take to do. As soon as you know how long things take, find ways to do them more efficiently. Always look for the elegant solution.

3. Creative Chunks – do similar things at the same time. If you are writing blog posts, do those all at one time on a specific day and time and do a month’s worth. Every time you shift from one task to another, you lose as much as 20 minutes just getting into the rhythm of the project. That’s why it is so important to have laser focus. Use a kitchen timer to keep you on schedule. Take complete mental breaks (maximum of 90 minutes on one project before a break) and do something to rest your mind like taking a walk, etc.

4. Systematize & Streamline – parts of this business are fairly routine. Document the routines completely so you can delegate or outsource them. Your time as the owner of the business should be spent on the five drivers for your business – sales & marketing, project planning & oversight, client relationships, systemization and joint ventures. If you were to focus your time on these five drivers alone, you would achieve more in less time and make more money…what could you do with the extra time and money? Use that to power through the documentation and systemization process so you can assign the work that doesn’t require your creativitity and skill sets.

5.Improve Your Strengths & Outsource or Delegate Your Weaknesses – I just learned this a few years ago, and it was really eye-opening to me. Keep this in mind if you have kids, too. If you have particular strengths, focus on improving those if they are the key drivers of your business. Find a coach, or find the best person you can to be a mentor to you to teach you the best practices. It will save you incredible amounts of time, money and wasted effort. This is also known as modeling. Everything that is not a strength, don’t do and don’t try to improve. It is extremely freeing to give up trying to improve things that aren’t playing to your strengths.

Summer Kickoff!

Memorial Weekend signals the beginning of summer! As we enjoy our cookouts, picnics, outings to the beach or lake, we'll also take time to remember the men and women who have served our country and those who have lost family members.

We have a parade each Memorial Day in my little town and it's awe-inspiring to see the marching veterans in their uniforms, stopping in the harbor to honor all the fallen at the Healing Field where over 400 flags are displayed. Young girls in pretty dresses toss floral wreaths into the water while the band plays. It's very Normal Rockwell and very moving. I always cry at parades.

PAC-MAN's 30th Birthday!

HAPPY BIRTHDAY PAC-MAN!

I love celebrating birthdays but . . .

Did you know that today is Pac Man's 30th birthday? I know what you are thinking, you had no idea I was a fan. Well, I'm really not; I might have played the game one time when Owen and Lee were young. I simply don't play video games.

My reason for this blog is that every time we at the Minutes Matter office open our Firefox browser to the Google home page, the PAC-MAN game tune begins to play. It scared me to death the first time I heard it; I had no idea where the noise was coming from. Even worse, I can't get it turned off! I had to turn the volume off on my computer. Anyone else "celebrating" PAC-MAN's birthday today? :(

Looks like he has keep himself in good shape, I can honestly say he doesn't look a day older.

Vision10 - Interviews with Exhibitors

Vision10 in Atlanta ended on Saturday. Grace looks so tiny under that enormous sign! Classes were very educational, as always. My class on Cloud Computing enlightened attendees on the benefits of moving their business to the Clouds. One attendee asked, "Are you saying we wouldn't have to have a server?" I responded, "That's exactly what I am saying." Everyone left the seminar with all of the possibilities swirling in their heads. Minutes Matter will be offering a series of webinars on Cloud Computing later this summer. Watch your Inbox for more details on why and how you can move your business to the Clouds.

The new Social Media Day, on Friday, was a huge hit. Somfy hosted a Tweetup, which included free drinks for everyone! Attendees tweeted and blogged all day about the conference. That afternoon, I was part of a panel discussion on how blogging benefits the interior design industry. Jackie Von Tobel did a fabulous job hosting the panel discussion. The panelists were Brian Patrick Flynn, Valorie Hart, Skyla Freeman, Jay Helser and myself. You could tell this group came from a wide variety of backgrounds. The discussion was very educational and, at times, quite humorous.

Saturday morning, the last day of the show, was the first opportunity I had to tour the show floor. I wanted to make sure I took some videos to share with those of you that were not able to join us in Atlanta. I interviewed a couple of vendors and asked them to tell me a little about the services and products they offer.

Mark your calendars, Vision11 will be held in Tampa, Florida, April 14-16, 2011. Grace, her staff and I hope to see you there!

Jenna Abbot, Executive Director for WCAA (Window Covering Association of America) has only held this position for a year, but you wouldn't know it looking at all the changes that the WCAA has undergone during her tenure. The entire WCAA board attributes much of the organization's success to Jenna's attitude and her keen business skills. The board consists of Bob Hipps - President, Margi Kyle -Vice President, Ed Hopkins - Treasurer, Jeanelle Dech - Secretary, Beth Hodges - Past President, Bill Taylor - Director, Roman Hardy - Director, Linda Principe - Director, Michele Williams - Director, Lora Vestal Scott - Director, Joe Jankoski - Director, and me, Debbie Green - Director.

Jay and Mark Helser are two great guys; you can randomly ask any one of their customers about them and you'll hear story after story about how their products and customer service is the best in the industry. They have a passion for their business and it shows. Hats off to you guys, I know success will continue to follow you!

As usual, the WCAA After-Hours Party, hosted by Helser Brothers on Friday night was a blast. I was so tired and, I hate to admit it, a little stiff from all the dancing. I could hardly get up the next morning! It was a sight to see, since I really can't dance, but that definitely wasn't true for most of my fellow party-goers. I think, as I said last year also, that I've got to take dance lessons. You have to watch the video all the way to the end to see Jay and Mark doing their best Robot moves. I'll be sharing Jay's video with you once he finishes the final edits.

This was my first time to stop by the Lutron booth and I was certainly glad I did. Joe Secena, took time to enlighten me on all of their products. After Joe's tour, I can see why Lutron leads the industry in motorization. Can you say "Quiet Motors?"

Paperwork Housekeeping Tip

By now you should have all of your taxes filed, unless you filed an extension. Now is a good time to consider what records and files you should keep and what you can discard. The paperless office is still a distant dream to me, but we can try to cut down on how much paper we keep by following a few basic guidelines.

The IRS website (www.irs.gov) offers official several informative publications on record retention. For example, Publication 552 is for individuals and Publication 583 is for for businesses. Most states also have easily accessible websites that provide guidelines and recommended record retention policies.

The list below is a general list of documents along with suggestions regarding how long to retain them. Of course, you should always consult your own accountant for specific information related to your particular business situation.

I use a rolling system of record keeping. I keep the current year and last year's records in file drawers in my office. For older records, I have a set of six large totes in my attic. Five of these are labeled by the year, while the other one is labeled Returns - Keep Forever. Despite what the government guidelines say, there are some records that I like to keep forever. I have this ridiculous idea that my great-grandchildren might find reading my old tax returns interesting when they clean out my attic some day in the far off future.

Using January 2010 as an example, here is what I do. In January of 2010, the 2003 tote came down from the attic. I then shred or burn the 2003 records and re-label the tote for 2008. I take the 2008 files from my office and load them into the tote, then the tote makes a return trip to the attic. Lastly, the 2009 records get shifted from the current year drawer to last year's drawer and we start all over again with 2010.
